Almost every company starts HR in spreadsheets — an employee list, an attendance sheet, a salary sheet. It works, until it doesn't. Formulas break, versions multiply, and one person becomes the only one who understands how payroll is calculated.
Signs it's time to switch
- Payroll takes days and depends on one person
- Attendance comes from registers, WhatsApp messages or several different sources
- Employee documents are scattered across email and drives
- Leave balances are disputed because nobody trusts the sheet
- You have multiple branches or shifts and consolidation is painful
- Sensitive salary data is shared as email attachments
Step 1: Decide what you need first
You don't have to switch everything at once. Common starting points:
- Employee records and documents — the foundation
- Attendance and leave — usually the biggest daily pain
- Payroll — once attendance is reliable
- Onboarding, training and exits — as the team grows
Step 2: Clean your data
Migration is only as good as the data you bring. Before importing:
- Remove duplicates and ex-employees who shouldn't be active
- Standardise department and designation names
- Check joining dates, employee IDs and contact details
- Collect missing documents
This is tedious, but it's the step that makes everything after it smooth.
Step 3: Set up structure before people
Configure departments, designations, branches, shifts, leave policies and salary structures first. Then import employees into that structure.
Step 4: Import and verify
Most HRMS platforms let you import employees from an Excel template. After importing, spot-check a sample of employees against the original data.
Step 5: Run payroll in parallel
For the first month or two, run payroll both in the old sheet and in the HRMS. Compare the results line by line. Differences reveal configuration issues before they affect anyone's salary.
Step 6: Train and roll out
- Train HR and managers first
- Give employees a short guide for attendance, leave requests and payslips
- Set a date after which leave and attendance are accepted only through the system
Step 7: Retire the spreadsheets
Once the parallel run matches, archive the old files. Keeping two systems alive indefinitely is how errors creep back in.
