Employee Training for SMEs: How to Start with an LMS

Training in growing companies often means "shadow someone for a week". A simple learning management system makes training consistent, measurable and far less dependent on individuals.

In most small and medium businesses, training happens informally: a new person shadows an experienced one, picks things up and hopefully gets it right. It works — until the experienced person is busy, leaves, or teaches the shortcut instead of the right way.

A learning management system (LMS) turns that knowledge into consistent, repeatable training.

Why structured training matters

  • Consistency. Everyone learns the same process, the same way.
  • Faster onboarding. New hires don't wait for someone to be free.
  • Less dependence on individuals. Knowledge stays when people leave.
  • Compliance. Safety, policy and statutory training can be tracked and proven.
  • Visibility. You know who has completed what.

What to train first

Don't try to build a full academy. Start where the impact is highest:

  1. Onboarding basics — company overview, policies, tools, attendance and leave.
  2. Role essentials — the core processes each role must get right.
  3. Compliance and safety — anything with legal or safety implications.
  4. Product or service knowledge — especially for sales and support teams.

Creating courses without a big budget

  • Record what already works. Screen-record your best person explaining a process. Short videos (5–10 minutes) beat long lectures.
  • Use existing material. SOPs, PPTs and checklists can become lessons.
  • Add a short quiz after each module to confirm understanding.
  • Update regularly. Outdated training is worse than none.

Make it count: assessments and certificates

Assessments turn "watched a video" into "understood the material". Set a pass mark, allow retakes, and issue a certificate on completion. For certain roles, verifiable certificates — for example with a QR code — add credibility with clients and auditors.

Track completion

A good LMS shows:

  • Who has been assigned which courses
  • Progress and completion
  • Assessment scores
  • Overdue training

Review this monthly with managers, just like any other performance metric.

Tips for adoption

  • Keep modules short and mobile-friendly
  • Assign training automatically when someone joins or changes role
  • Make managers responsible for their team's completion
  • Recognise people who complete training — not just those who skip it
